Booking Confirmation

We issue a booking form after you confirm your custom itinerary. Return the completed form with proof of valid travel insurance. We then secure lodging, excursions, and domestic flights (if applicable) and issue an invoice confirming your reservation.

Payment Terms

30% deposit due within 14 days of invoice; balance due 42 days before arrival. Bookings within 42 days require full payment. Sender covers bank fees. Exchange-rate swings of ±5% before payment may adjust the balance. Late payment may lead to cancellation with a 30% fee.

Cancellation Policy

Cancellations become effective when received by email:

• • Up to 60 days before arrival: 30% of total.
• • 60–30 days before arrival: 75% of total.
• • 30 days to arrival/no-show/late arrival: 100% of total.

Unused services are non-refundable.

Amendments

Suggested itineraries depend on availability. If a lodge is full, we will offer a comparable or higher-standard option (surcharges may apply). If alternatives are unacceptable, a full refund is issued. We may adjust itinerary, transport, or services for reasons beyond our control and will notify you promptly.

Insurance & Visa

Comprehensive travel insurance is mandatory; cancellation coverage is recommended. International flights are not booked by Passionate Guides. Tanzanian tourist visas are required; obtain online or on arrival. AMREF Flying Doctors evacuation is included for safaris/treks (day trips excluded).

Transportation & Wildlife

We strive to provide vehicles in reliable condition; no liability for delays due to road conditions. Guides have final say on routing. Wildlife sightings are not guaranteed; always follow guide/ ranger instructions and keep safe distances (~20m).

Complaints & Liability

Report issues immediately to your guide or our office; unresolved matters must be submitted in writing within 30 days post-tour. Passionate Guides is not liable for loss, damage, injury, or death; comprehensive insurance is mandatory.

Force Majeure

Events beyond our control (e.g., weather, war, strikes, government action, quarantine) may necessitate changes or refunds net of reasonable costs incurred. We will notify you promptly and attempt fair remedies.

Use of Website

You may view, download, and print site content for non-commercial personal/educational use. Commercial use requires prior written consent. We take reasonable measures to protect your personal data.
