Terms and Conditions

General
In Tanzania and Zanzibar generally, Passionate Guides Tanzania arranges safaris, day trips, beach vacations, mountain climbing expeditions, and full private safaris and tour packages. Please carefully read the terms and conditions listed below before entering into an agreement with Passionate Guides Tanzania.

Due to varying circumstances, the terms and conditions may occasionally be changed. The terms in effect at the time of booking, though, still stand. Conditions in Africa are typically not comparable to those in industrialized nations, and there may be lesser expectations for service, medical services, safety, and security than there are in your own country. Kindly remember that it is the laws and regulations of the nation in which services are offered that relate to your holiday preparations.

Booking Confirmation
We will send you a formal booking form once you have confirmed your custom safari itinerary. Please fill out this form completely and email it back to us. Note that a valid travel insurance is needed when booking your trip with us. We will make the necessary reservations for lodging, excursions, and domestic flights (as applicable) once we have your completed booking form. When all travel services have been reconfirmed, we will give you the invoice. Your reservation is also confirmed on this invoice.

Terms of payment
A deposit payment of 30% of the entire invoice amount has to be paid within 14 days following the invoice date. Six weeks (42 days) before arrival, the balance is due. For bookings within the period of 42 days prior to departure the full amount of the invoice has to be paid instantly. Once we have received the amount on our bank account we will give you a confirmation. Please be aware that the sender is responsible for covering any bank transfer fees.

The invoice can be paid in either euros or US dollars. If the exchange rate fluctuates by 5% or more (higher or lower) before payment has been made, then the (remaining) payment will be adjusted accordingly. We may decide to increase the deposit rate in case the total amount exceeds USD $20,000. You will receive a courteous reminder if the due date is missed. We reserve the right to cancel your trip and will impose cancellation fees equal to 30% of the total price if we still have not received your payment after a reasonable period of time.

Cancellation Policy
In case you may need to cancel your trip please notify us by email as your earliest convenience. Any cancellations shall be effective on the date that we received your cancellation request. The following cancellation fees apply:

1. Cancellation up to 60 days before the day of arrival: 30% of the total amount;
2. Cancellation from 60 days to 30 days before the day of arrival: 75% of the total amount;
3. Cancellation from 30 days to the day of arrival: 100% of the total amount.

No refunds will be given for any unused services, late arrivals or no-shows.

Amendments
Until confirmed, none of the suggested safari itineraries are guaranteed and are subject to availability. If the suggested lodging is fully booked, we will provide you with a suitable substitute in a similar or higher price range (a surcharge may be necessary). In the odd event that the alternative available travel services are not acceptable to you, we will issue a full refund. We strongly advise making reservations far in advance, especially during peak season (July, August, and mid-December to January), to avoid potential disappointment.

Passionate Guides reserves the right to amend and re-adjust the itinerary, transportation, accommodation and services indicated in the safari program in the event of unforeseen circumstances beyond our control. Any changes will be communicated as early as possible.

Insurance
A comprehensive travel insurance is mandatory and we recommend you to insure for cancellation as well. If you already have a travel insurance we strongly advise you to check your coverage. Note that Passionate Guides will make the necessary ground service arrangements, but cannot book your international flight. When confirming your safari you will however be automatically signed up for the AMREF Flying Doctors Tourist Evacuation (day trips excluded).

Visa
When traveling to Tanzania you will need a tourist visa. It is your responsibility to obtain this visa online prior to your safari or upon arrival.

Transportation
Although every effort is made to provide the safari vehicles in drivable condition, no liability can be accepted for a puncture, breakdown, damage, or delay as a result of the bad road conditions. We only permit guides who have final say in all decisions, including the route to take, to operate company vehicles.

Wildlife
It is a privilege to see animals in their natural habitat and as such, we cannot guarantee wildlife or game viewing. You must take caution when viewing the animals, keep a minimum distance (20 meters from an animal) and carefully follow the instructions given by either the tour guide or wildlife rangers.

Complaints
Any complaints must be reported immediately to the Passionate Guides guide (or head office) and to the supplier of the service, who will do their best to resolve the matter. If the problem is not solved to your satisfaction, the complaint should be reported in writing and not later than 30 days after completion of the tour. Liability for complaints not notified in accordance with the above described procedure cannot be accepted.

Liability
Whilst Passionate Guides will exercise utmost care in dealing with you as our esteemed guest and your belongings, we cannot be responsible for loss or damage to personal belongings, personal injury or death. It is therefore mandatory to have a comprehensive travel insurance when traveling.

Force Majeure
In the event that Passionate Guides is impacted by force majeure, which includes events beyond the company's control (such as, but not limited to, explosions, floods, tempests, fires, accidents, war or threat of war, sabotage, insurrection, civil disturbance or requisition, sickness, quarantine, government intervention, weather conditions or other external occurrences), we will notify you as soon as possible of the nature and extent thereof. The company is not authorized to violate or abuse these conditions.

We will make a reasonable attempt to make up for any refund that you might have received as a result of a company's failure to perform wherever possible. However, we will be authorized to subtract the reasonable actual and projected expenses of the force majeure to the business from any reimbursement that might be recovered.

Use of website
Passionate Guides grants you, as a website user, permission to access, display, download, and print the content as long as you use it solely for non-profit, non-commercial, personal, and educational purposes. Users are prohibited from using or exploiting content from this website for any commercial or public purposes without Passionate Guides' prior written consent. We pledge to secure your personal information by taking all practical and required precautions.
